1. Client Coordination & Documentation Managing direct client dealings regarding design, documentation, and project requirements. Guiding clients about required documents and ensuring timely submission of complete records. Coordinating with clients for construction undertakings, LDA undertakings, completion, and shifting-related documentation. Maintaining professional communication with clients regarding file status, approvals, and submissions. 2. Client Completion / Shifting File Processing Receiving client requests for completion or shifting of property/files. Checking client file in detail to verify all required documents are complete. Completing missing documentation by coordinating directly with the client. Preparing final complete file after verification and completion of all requirements. Getting file reviewed and signed by Head of Department (HOD). Issuing finalized file to client after HOD approval. Sending official email to all relevant departments after file issuance for record update and coordination. 3. Design Completion & Drawing Handling Monitoring completion of design/drawings for each project. Informing clients once drawing/design is completed and ready for collection. Guiding clients to receive and acknowledge completed drawings/designs. Ensuring proper handover record of drawings after client receipt confirmation. Forwarding completed design/drawing copies to all relevant departments via official email for record keeping. 4. File Preparation & Record Management Preparing complete client files with accurate documentation and project records. Managing both & copy and soft copy files according to company documentation standards. Assigning proper filing numbers for systematic record management & traceability. Organising old records and maintaining proper archive system in hard & soft formats. Tracing missing or incomplete files and restoring full documentation records. Maintaining secure and updated records for residential & commercial projects.
