I designed and implemented an advanced automation system using Zapier to streamline document processing and CRM updates following new lead submissions. The workflow is triggered by a HubSpot form entry and leverages built in tools such as Formatter and Looping to efficiently manage multiple files within a single process. The automation applies conditional logic to route data into separate paths, automatically creating structured folders in Dropbox for organized storage. Documents are retrieved, processed, and converted into standardized PDFs using PDF.co before being uploaded to their respective folders. Once processing is complete, the system synchronizes back with HubSpot by identifying the associated contact and deal records. It updates deal stages, attaches document links, and refreshes contact information in real time. This solution eliminated manual file handling, improved data organization, and ensured accurate CRM records significantly saving time and boosting operational efficiency.
