This one started with a healthcare/orthopedics client whose "knowledge base" was really just OneNote notebooks and OneDrive folders that had grown unmanageable across multiple locations. Nobody could find the right version of anything, and staff had no consistent way to know what was current vs outdated. I built the taxonomy from scratch in SharePoint's Managed Metadata Term Store — product categories, manufacturers, document status, target audience — then set it up so non-technical staff could tag documents themselves without needing training on metadata theory. Connected those columns to SharePoint Premium's AI tagging and autofill features so incoming documents get classified automatically instead of sitting in an inbox waiting for someone to file them. Scanned documents needed OCR before any of this worked, so that got set up first. I also mapped out Power Automate flows to route tagged files into the right folders based on status — saves someone doing it by hand every time. Hit a snag getting the AI features to activate: turned out to be a pay-as-you-go billing config issue tied to Azure subscription linkage, not a SharePoint problem at all. Took some back-and-forth with the client's IT team to track down. Since the client operates in Germany too, I architected the term store so English labels can get German translations added later without rebuilding the taxonomy from scratch. Laid out the whole thing as a phased roadmap — discovery, design, automation, AI search, deployment — with sign-off at each stage.

Microsoft 365 SharePoint Governance & Automation Development

Engaged by a healthcare administrator to design and implement a Unified Information and AI Governance Automated System (UIGAS) inside Microsoft 365 Business Premium — a fully metadata-driven governance engine covering 16 record categories including Financial Management, HR, Legal, Health Information, and AI Systems. Built the complete architecture across three phases using SharePoint, Microsoft Purview, Power Automate, and Microsoft Entra ID: - Designed 16 governed SharePoint libraries with two unified content types spanning 43+ metadata fields covering identity, privacy, security, disposition, and AI governance requirements - Configured 16 Microsoft Purview retention labels with category-specific retention periods, triggers, and disposition rules, including a permanent-retention configuration for governance records - Built 4 sensitivity labels (Public, Internal, Confidential, Restricted) with correct encryption and content marking settings for a healthcare compliance environment - Established 16 Entra ID security groups with independent, role-based library permissions — breaking inheritance and locking access per record category - Designed Power Automate workflows for AI governance review routing, privacy rule triggers, and record locking using Purview's records declaration capability - Built 5 purpose-built library views (Governance, Privacy, Records Management, AI Governance, Cross Border) giving different roles clean, filtered access to the same governed data Delivered a self-sorting, audit-ready governance system where every record is fully classified — including AI risk level, human oversight, and bias monitoring requirements — at the point of creation, with zero document uploads and full alignment to the client's original compliance framework.
